Data We Gather
This policy pertains to information collected or submitted through the MaintainWP platform, through our customer and support channels, and through MaintainWP software or cloud-connected services.
Depending on how you interact with us, we may collect your name, email address, phone number, billing details, business information, website URL, account registration details, license information, support request details, payment status, subscription status, and other information you choose to provide.
For website management and website build services, we may collect information needed to perform the requested work, such as website specifications, WordPress administrator access, hosting access, DNS/CDN access, theme and plugin information, brand materials, logos, images, website content, business descriptions, and related project materials.
For software products and plugin licenses, we may collect information needed to activate, validate, support, update, and secure your license, such as license keys, domain or site activation details, product version, WordPress version, PHP version, usage limits, subscription status, and related technical information.
For payments, we may receive billing-related information from our payment processor, such as payment status, transaction identifiers, billing contact details, subscription status, and limited payment details. We do not intentionally store full payment card numbers on MaintainWP servers.
Website Management Client Data
When you hire MaintainWP to manage, maintain, secure, support, migrate, or build a WordPress website, we may access information stored in or connected to that website only as needed to perform the requested services. This may include website content, media files, plugin and theme configuration, account settings, logs, backups, form entries, user accounts, and related technical data.
We use this information to provide maintenance, updates, backups, security configuration, firewall and CDN setup, troubleshooting, content edits, website build work, support, reporting, and related services. We do not sell website management client data.
You are responsible for ensuring that you have the right to provide us with access to the websites, accounts, content, user data, images, credentials, and third-party services you ask us to work with.
AI-Assisted Plugin Features
Some MaintainWP plugins may include optional AI-assisted features that connect to MaintainWP cloud services. These features require an affirmative opt-in inside the plugin before they can be used. If you do not opt in, the AI-assisted cloud features will not process your prompts or website content through MaintainWP’s AI service.
When you use AI-assisted plugin features, the information sent for processing may include your prompt, the existing website content relevant to your request, and any optional website, business, brand, tone, or preference information you choose to enter in the plugin settings. This information is used to understand and complete the requested action, such as suggesting or applying edits to your website content.
MaintainWP does not store your AI chat messages or the website content submitted for AI-assisted processing as a persistent chat history. While an active AI chat or request is in progress, relevant request context may be temporarily cached in the cloud service to maintain continuity and reduce unnecessary repeated data transfer. This temporary context is not stored in a customer-accessible database as a saved chat history and is not intended to be accessed for ordinary review of your personal messages or website content.
We may collect usage, billing, quota, license, performance, and exception data related to AI-assisted features. This may include information such as request counts, usage limits, account or license status, timestamps, error events, feature usage, and whether a request succeeded or failed. We use this information to operate the service, enforce usage limits, bill for usage-based upgrades, troubleshoot errors, monitor reliability, prevent abuse, and improve service quality.
AI Service Improvement Settings
When you opt in to use AI-assisted features, a separate service-improvement setting may be enabled by default. You may opt out of this improvement setting at any time through the plugin settings if you do not want us to collect additional improvement telemetry beyond what is needed to operate, secure, bill, and troubleshoot the service.
If the improvement setting is enabled, we may collect limited diagnostic and quality information about AI-assisted requests, such as whether a request required retrying, whether an internal quality check failed, general categories of failure, and non-identifying explanations of what type of issue occurred. This information is intended to be general and operational, not a record of your personal chat content or identifiable website content.
Opting out of improvement telemetry does not necessarily disable operational data collection needed to provide the service, enforce usage limits, maintain security, process billing, monitor abuse, or troubleshoot technical errors.
How We Utilize Your Data
We use the information you provide to fulfill service orders, provide website maintenance and website build services, manage customer accounts, respond to support requests, process subscriptions and payments, deliver software downloads and updates, validate licenses, operate plugin features, provide AI-assisted functionality, enforce usage limits, improve reliability, monitor security, and communicate with you about your account, purchases, services, and support requests.
We may use website and hosting information to perform requested work such as updates, backups, security configuration, firewall management, CDN configuration, troubleshooting, migrations, content edits, website creation, plugin setup, and related support.
We may use technical, usage, billing, and diagnostic information to maintain the security and performance of our website, plugins, cloud services, and customer systems; prevent fraud or abuse; investigate errors; enforce license and usage limits; and improve our products and services.
We do not sell your personal information, website content, private prompts, or customer website data.
Third-Party Service Providers
We may share information with third-party service providers only as reasonably necessary to operate our business and provide the Services. These providers may include payment processors, hosting providers, email providers, security providers, analytics providers, backup providers, CDN/DNS providers, software licensing systems, support tools, and AI or cloud processing providers.
When AI-assisted plugin features are used, submitted prompts, relevant website content, and related request information may be processed by third-party AI or cloud infrastructure providers that help deliver the requested feature. Those providers may process information according to their own terms, privacy policies, data-processing terms, retention rules, and security practices.
We require service providers to handle information only for appropriate business purposes, but we do not control every aspect of how third-party providers operate. You should review the policies of any third-party services you use directly or that are identified in product documentation, checkout terms, plugin notices, or service agreements.
Cookies, Analytics, and Technical Logs
Our website, customer portal, checkout pages, plugins, and cloud services may use cookies, local storage, server logs, analytics tools, security tools, and similar technologies to operate the platform, remember preferences, maintain sessions, process purchases, protect accounts, detect abuse, measure traffic, diagnose errors, and improve our services.
Technical logs may include information such as IP address, browser type, device information, referring pages, pages visited, timestamps, account or license identifiers, error messages, request metadata, and security events. We use this information for operations, security, troubleshooting, analytics, billing, and service improvement.

We use commercially reasonable administrative, technical, and organizational safeguards designed to protect personal information, customer website data, credentials, and service data from unauthorized access, misuse, loss, or disclosure.
Because no method of transmission or storage is completely secure, we cannot guarantee absolute security. You are responsible for using strong passwords, limiting who has access to your accounts and websites, maintaining appropriate backups where applicable, and promptly notifying us if you believe your account, website, license key, or credentials may have been compromised.
For security reasons, we do not publicly disclose all of the specific methods we use to protect information.
Data Retention
We retain personal information, account information, billing records, license information, support records, website management records, technical logs, and operational data for as long as reasonably necessary to provide services, comply with legal and accounting obligations, resolve disputes, enforce agreements, maintain security, and operate our business.
AI-assisted chat messages and website content submitted for AI-assisted processing are not stored by MaintainWP as a persistent chat history. Temporary active-request context may exist only while needed to complete an active request or maintain active chat continuity, after which it is not retained as a saved customer chat record by MaintainWP.
Some information may remain in backups, logs, third-party provider systems, accounting records, or security records for a limited period according to operational, legal, security, or provider-retention requirements.
Your Choices and Access
You may choose not to provide certain information, but this may prevent us from providing the requested service, support, license activation, software update, website management, website build work, or AI-assisted feature.
You may opt out of AI-assisted plugin features by not enabling them or by disabling them in the plugin where that option is available. You may also opt out of optional AI service-improvement telemetry through the plugin settings where that option is provided.
You may contact us to request access to, correction of, or deletion of personal information we maintain about you, subject to identity verification and any legal, accounting, security, contractual, operational, or legitimate business reasons that require us to retain certain information.
Children’s Privacy
MaintainWP services, products, customer accounts, support services, and plugin license features are intended for individuals who are at least 18 years old. We do not knowingly collect personal information from children under 13. If you believe a child has provided personal information to us, please contact us so we can review and take appropriate action.
